A Tool for ACE

As we work on scaling the ACE program, we need a CRM tool that accomplishes four goals:

Goal 1

Super easy for staff to use

ACE is a program staff can understand, execute, and win. The tool needs to match that simplicity — low friction at every step, no training curve.

Goal 2

Tracks the fullness of ACE

ACE asks staff to make roughly 15 distinct moves in a 3-week sprint. Those moves are sequential and time-sensitive. The tool needs to hold that structure so coaches and staff always know exactly where a team is.

Goal 3

Specific data collection

For coaching, we need visibility into each Area Team's prospect pipeline that current tools don't support. For program evaluation, we need to capture what's working at the move-by-move level.

Goal 4

Whole-program reporting

At cohort close we need a complete picture: matching dollars deployed, new donors acquired, recurring giving established, transfers made — fast to produce, not a manual assembly project.

Two Paths Forward

Option 1

Create an ACE journal in DonorElf

This would keep ACE data inside a tool IV already uses. To work, it would require:

DonorElf to build features they have not historically prioritized
Full data roll-up and visibility across participating teams
The ability to turn the journal on and off by cohort

This path depends on DonorElf's cooperation and timeline, and would be integrated with a current tool.

Option 2

Build a custom ACE web application

A standalone, password-protected tool designed specifically for ACE's workflow. This path gives the GAPS team full control over the tool and its development.

Requires permission from IV leadership to proceed
Brief conversation with IT about data handling
